Importance of building and maintaining adequate supply chain - partnering

In this article we will explain the importance of creating and maintaining a supply chain for construction companies, which partially covers the subject of partnering.

For basic materials suppliers are chosen based on the cheapest prices offered (i.e. Selco, Travis Perkins, etc.). Obtaining quotes for projects from them is usually very simple and the prices may be used over and over again for many projects.

For more complex products and services there is a lot more effort required, mostly from the suppliers. It typically involves creating a new product or a prototype.
In these cases quotations must be obtained for each individual project. In some industries, like joinery, M&E, etc., this will also involve design, making the process rather lengthy and costly exercise.

Bearing in mind that to maintain a competitive edge it would be best to obtain quotations from as many suppliers as possible, it becomes clear that this approach would be unsustainable. In reality, the common practice is to obtain 3 quotations from various suppliers and choose the most competitive one. But this still creates problems, especially when we approach a new supplier, someone that we don’t know. If there is a big investment of resources needed to prepare a quotation it will be difficult to convince them to get involved, especially if we don’t have a personal contact with them and they don’t know if they have any chances of actually getting the order.

A solution to this may be found in setting up a partnering relationship with suppliers.
Setting up a partnering with suppliers is not an easy task. First appropriate organisations have to be selected. Bearing in mind that trust is such a crucial factor it would be wise to consider these arrangements with organisations that have already developed good working relationships.

Factors to take into consideration are financial, technical qualifications, understanding of partnering, compatible values and culture, management style and available staff and resources.

To ensure successful partnering arrangement it is important to establish clearly defined objectives that meet aims of each of the parties. This will provide basis for partnering.

Once the partnering is established it is equally important to maintain the relationship, the enthusiasm and hopes with which the enterprise began. Communication plays an essential role here. The intention of the arrangement must be reinforced at appropriate intervals to all people involved in the participating organisations.
Periodic assessments should be carried out to ensure the partnering keeps providing good value. It is important to understand that contract awards are still subject to rigorous competition, but judged on pre-determined combinations of quality and cost.
Partnering will promote better performance of all parties involved by providing additional value to the procurement process, which in turn will enhance chances of winning more projects.
